Privacy Policy

Updated September 7, 2026: This policy now explains how information submitted through Start Care is collected, used, protected, and routed to the appropriate physician-owned medical practice.

CareAtlas, Inc. (CareAtlas, we, us) is a Texas corporation that provides technology and management services to health care organizations. This policy explains what information we collect through careatlas.com (the Site), how we use it, and the choices you have.

What this policy covers

This policy covers information collected through careatlas.com, including business inquiries and requests submitted through the Start Care page.

CareAtlas, Inc. provides technology, administrative, and care-coordination support to independent, physician-owned medical practices. When you submit a Start Care request, CareAtlas uses the information to respond to you, determine whether services may be available where care is needed, and route the request to the appropriate CareAtlas team and physician-owned medical practice. Clinical services in Texas are provided by Austin Health Wired, P.A. Clinical services in Tennessee, Mississippi, and California are provided by 1 True Health - California, PC.

Submitting a request does not establish a clinician-patient relationship or guarantee eligibility, enrollment, or services. If you become a patient of one of these practices, health information maintained for treatment, payment, or health care operations is governed by that practice's Notice of Privacy Practices:

The HealthQuilt™ platform remains governed by the written agreements between CareAtlas and its customers and practices.

Information we collect

  • Demo and contact requests - name, work email, organization, role, how you heard about us, and anything you include in a message.
  • Meeting scheduling - if you book time with us, our scheduling provider (Calendly) collects your name, email, and selected time.
  • Newsletter - your email address, with double opt-in confirmation before you are subscribed.
  • Start Care requests - first and last name; whether the request is for you or someone you help; state where care is needed; phone number; optional email address; preferred calling window; consent to be contacted; and technical information reasonably needed to secure, route, and document the request.
  • Technical data - IP address, browser and device type, and pages viewed, collected through cookies and similar technologies described in our Cookie Notice.

The Start Care form is not designed to collect symptoms, diagnoses, medication lists, insurance or member numbers, medical documents, or other clinical details. Please do not include that information in the form.

How we use information

We use information submitted through the Site to:

  • respond to requests and schedule meetings;
  • determine initial service-area and workflow fit;
  • route Start Care requests to the appropriate CareAtlas team and physician-owned medical practice;
  • create and manage the requested follow-up;
  • operate, secure, troubleshoot, and improve the Site and request process; and
  • comply with applicable law.

Submitting a Start Care request does not subscribe you to marketing or the CareAtlas newsletter. We do not use Start Care information for advertising.

How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only with:

  • Service providers under contract who process it on our behalf for existing Site business functions: Webflow (site hosting and forms), Calendly (scheduling), Beehiiv (newsletter delivery), Attio (customer relationship management). Those vendors do not receive the Start Care submission payload.
  • Google (Google Tag Manager and Google Analytics), for limited analytics on general business and marketing pages.
  • Professional advisors and authorities where required for legal compliance, or to protect our rights.
  • A successor in connection with a merger, acquisition, or sale of assets, in which case this policy's commitments follow the data.

For Start Care requests, we may share information with:

  • Austin Health Wired, P.A. for requests involving care in Texas;
  • 1 True Health - California, PC for requests involving care in Tennessee, Mississippi, or California; and
  • service providers under contract that help us securely host, transmit, protect, or manage the request.

We do not sell Start Care information or share it for cross-context behavioral advertising. Start Care requests are submitted directly to the CareAtlas application and stored within its Google Cloud-hosted application infrastructure. Webflow serves the page but does not receive or store the form submission. The CareAtlas application uses its approved PostgreSQL database for persistent storage; Redis may be used only for transient application processing within the same infrastructure boundary.

Cookies and tracking

The Site uses a small number of cookies, described in our Cookie Notice. The Site does not track visitors across third-party websites and does not use advertising or retargeting pixels. Because there is no cross-site tracking or sale of data to opt out of, the Site does not respond differently to browser Do Not Track or Global Privacy Control signals.

On general business and marketing pages, we use Google Tag Manager to load Google Analytics and collect limited technical and usage information, such as pages viewed and interactions with business-facing calls to action. We do not load these tools on the Start Care page or either practice Notice of Privacy Practices page, and we do not send Start Care submission information to them. We do not use analytics to infer health conditions, build health profiles, or target advertising.

Your health data

Visiting general educational pages does not make you a patient, and we do not use those visits to infer health conditions, build health profiles, or target advertising.

A Start Care request may indicate that you or someone you help is seeking health care. We treat that information as sensitive. We use it only to respond, route the request, assess whether CareAtlas may be able to help, secure and operate the request process, and comply with law. If information becomes part of care provided by a physician-owned medical practice, that practice's Notice of Privacy Practices describes how protected health information may be used and disclosed and explains the individual's HIPAA rights.

Email choices

Every newsletter and marketing email we send includes an unsubscribe link, and we honor opt-outs promptly (and in any event within 10 business days). We only add you to the newsletter after double opt-in. You can also write to us at the addresses below.

Your privacy rights

You may ask us to access, correct, or delete the personal information we hold about you, or to opt out of any sale or sharing (noting that we do not sell or share as described above). We extend these rights to all U.S. visitors, regardless of state of residence.

To make a request, email privacy@careatlas.com or write to the postal address below. We will verify your request (typically by confirming control of the email address on file), respond within 45 days, and never discriminate against you for exercising your rights. An authorized agent may submit a request on your behalf with proof of authorization.

Retention

We keep personal information only as long as it is relevant to the purpose it was collected for and as required by law, and we delete it on verified request.

Security

We use reasonable administrative, technical, and physical safeguards for Site information, including encryption in transit. No method of transmission or storage is completely secure; if you have a security concern about the Site, contact privacy@careatlas.com.

Children

The Start Care request form is intended for adults age 18 or older. A parent, guardian, or other adult caregiver may contact us for someone they help, subject to applicable authorization and service requirements. We do not knowingly collect personal information directly from children under 13 through the Site. If you believe a child has provided us information, contact us and we will delete it.

Audience

The Site is intended for audiences in the United States, and information collected through it is processed in the United States.

Changes to this policy

When we update this policy, we will post the new version here with a new effective date. If a change is material, we will say so conspicuously on this page.
